NEW YORK CITY TRIP
MARCH 2025

The Robinson Performance Ensembles and Jay M Robinson Chorus will travel to New York City during spring break in March 2025.  This page will be updated with more information as it becomes available.

ITINERARY

The trip will take place March 11-15, 2025. this section will be updated with additional details as they become available.

COST / PAYMENTS

Full cost for the trip:

Students:

  • $1500

  • Quad Occupancy (4 to a room) For 4 nights in a Times Square hotel

  • ​Transportation by coach bus to/from NYC

  • Transportation to Excursions

  • Breakfast Wed-Sat included in hotel cost

  • Lunch/dinner Wed-Friday included

  • All excursion costs

Chaperones:

  • $1800

  • Double Occupancy (2 to a room) For 4 nights in a Times Square hotel

  • Can upgrade to a single room for ~$550 additional cost

  • ​Transportation by coach bus to/from NYC

  • Transportation to Excursions

  • Breakfast Wed-Sat included in hotel cost

  • Lunch/dinner Wed-Friday included

  • All excursion costs

  • Will be responsible for a group of 6-8 students

  • Limited spaces available for chaperones

The full fee for students and chaperones also covers additional costs such as teacher travel, travel agent fees, coverage for rooms that are not full, unused bus seats, tips, fees, etc.

NOT included in the travel fee:

  • Meals on travel days (Tuesday and Saturday)

    • Tuesday eat breakfast before we leave

    • Sat breakfast will be at the hotel

    • Bring snacks

    • Will stop for lunch both travel days, bring money

    • Tues dinner will be along the drive or in NYC

    • Sat dinner will be along the drive if needed

    • Plan on at least $60 - $75 total for these two days

  • Souvenirs

  • Snacks you wish to purchase during the trip

  • Travel Insurance (optional)

  • Balance for students can be reduced based on fundraising.

  • Balance for chaperones can be reduced by fundraising after student accounts are paid in full.

  • Credits from fundraising will be tracked in Cuttime.

  • Boosters are working on sponsorships and other fundraising that might reduce the total cost for all, but plan to pay or fund raise in full.

  • If balance is not paid in full by 1/15/25, the student may not be able to participate. Please communicate any issues early and often!

Envelopes for cash and check payments are available in the band room. Please fill out the information on the envelope, place the cash or check inside, and seal the envelope. Sealed payment envelopes should go into the locked red box outside of Mr. Dill's office where the Booster Treasurer will pick them up on a regular basis.

Fundraising

Fundraising is already in full swing for band and chorus students.

​

For band and guard students:

Fundraising should first be applied to outstanding band fees as those must be paid in full to be eligible to travel. Once all past and current due band/guard fees are paid (through payments or fundraising credits), additional credits can be applied to the trip fees.

REGISTRATION

REGISTRATION is NOW CLOSED

  • The first 43 students and 6 chaperones to register and pay the down payment will be guaranteed space.

  • Chaperones must be 21 or older. Chaperones 25 or older will be given preference over 21-24 year olds.

  • Everyone else will be on a waiting list with the hope that we have enough interest to secure a second bus.

  • Registrations will be monitored through 8/25 and you will be notified within 2 business days if you are on a waiting list or have secured a spot so that you know whether or not to pay immediately.

  • Deposits for chaperones will be credited to their student if we do not have space for you as a chaperone.

  • Individual caregivers accompanying students with additional needs must register as a chaperone but will NOT be included in chaperone ratios as they are dedicated to the needs of their student.  If the student is traveling, space for the caregiver will be provided.

ADDITIONAL INFORMATION

Cancellation Policy

Cancellation Notice:

Cancellations will only be accepted from the participant or their legal guardian, and must be verified by the Group Leader/Director. A written notice is required to process cancellations, and the cancellation date is determined by the date Jay M Robinson Performance Ensembles receives your written notice. Non-payment of installment payments may also be considered a cancellation by the participant.

Cancellation Fees:

  • 180 days or more before final payment: Non-refundable deposit will be forfeited.

  • 179 to 121 days before final payment: Non-refundable deposit and a $75.00 cancellation fee will be forfeited.

  • 120 to 61 days before final payment: 50% of the trip price will be forfeited.

  • 60 days or less before final payment: No refund; all payments will be forfeited.

 

Note: Non-payment of installment payments may be considered a cancellation by the participant.

Travel Insurance

Travel insurance for this trip is:

  • Not included in the trip cost

  • Optional

  • Purchased by you directly if you choose to use it

  • Coverage and cost varies but it protects your investment if you are not able to travel

  • Contact our travel agent, ABCD Adventures, for assistance if needed (can advise on options)

Note: If for any reason the full trip is cancelled, ABCD Adventures will assist us in recovering as much money as we can based on our vendor contracts.
